Estate Administration Paralegal

This position supports the attorneys in the estate administration practice area. This includes assisting the practice area with trust and estate administrations, client support and coordination, file management, preparation and processing of legal compliance, documents, general document production, and file management activities.

Bachelor degree and Paralegal certificate or equivalent. Paralegal support experience required. Existing Notary Public commission helpful.

In addition to the above, the paralegal in this position will support the Estate Administration practice attorneys and shall possess the following skills and/or abilities:

Proficiency in the Microsoft Office Suite of Word, Excel, PowerPoint, Outlook; knowledge of Lexis Time Matters is helpful, as well as a working knowledge of the Internet. Superior organization skills are a must, as well as excellent attention to detail. The desired candidate must possess the ability to work simultaneously on a variety of projects, effectively prioritize work effectively under pressure and complete assigned projects in a timely manner. Strong interpersonal skills including the ability to develop positive working relationships through effective listening and communication are required as well as a professional presence. A minimum of mid-level experience in the legal field is mandatory. A proactive mind set is desired, initiative and a self-motivating mind set.

Initial Duties Anticipated:

    1. Attend initial client meetings, summarize background facts and information, assist attorneys with obtaining relevant client information and/or documents, organizing client information and documentation, and document intake.
    2. Preparation of legal compliance documents, including but not limited to service of legal notices and submission of legal compliance documents to appropriate agencies.
    3. Scan/copy and transmit documents to clients and file maintenance.
    4. Collection and inventory of estate asset information, valuation of estate assets utilizing firm's existing EstateVal valuation software, and other accepted firm protocols.
    5.  Support attorneys in handling all aspects of an estate administration client matter, including but not limited to: communicating with client, professional colleagues, financial institutions and/or others relevant to case matter.
    6. Assist attorneys with preparation of required Court pleadings, manage traditional and electronic Court filings, attend to communications with Court as required and provide support to attorneys for Court hearings.
    7.  Draft correspondence and client documents as needed.
    8. Preparation of federal estate tax returns, Form 706 and/or federal gift tax returns. Form 709 as required.
    9. Maintain and facilitate ongoing coordination and communication with supervising attorney to facilitate high level of support to attorneys and clients.
    10. Prepare and/or file all documents necessary to affect distribution of estate assets to beneficiaries and close out the estate.
    11. Various other projects as assigned by Attorneys.
